Vendor reconciliation, frequently asked questions
Everything you need to know about matching vendor and supplier statements with your books using CleverBalance.
General questions
What is vendor or supplier reconciliation?
Vendor reconciliation is the process of matching your books (AP ledger) with vendor or supplier statements to identify differences such as missing invoices, duplicate entries, payment mismatches, and credit notes.
What files do I need to start?
You need a vendor or supplier statement in CSV or Excel format, along with your books or AP ledger in CSV or Excel. No specific format is required because you map columns during upload.
Do both files need to have the same format?
No. CleverBalance standardizes both files internally, so they can be compared even if column names are different, date formats vary, or reference formats are inconsistent.
Matching & accuracy
How does CleverBalance match transactions?
CleverBalance uses invoice and reference matching, amount and date matching, rule-based logic for structured cases, and AI-based matching for complex scenarios. This ensures high accuracy while still handling real-world complexity.
What if invoice numbers do not match exactly?
CleverBalance can still match transactions using partial or similar references, amount matching, date proximity, and description similarity. AI helps identify matches even when invoice numbers are missing or inconsistent.
Can it handle partial payments or split entries?
Yes. CleverBalance supports one invoice matched to multiple entries, multiple invoices matched to one payment, and partial settlements. As long as the total amount aligns, the system can match them.
How are credit notes and adjustments handled?
Credit notes, reversals, and adjustments are automatically considered during matching. The system can adjust totals, include them in grouped matches, and surface them clearly in outputs.
What if dates do not match between vendor and books?
CleverBalance allows for date differences, typically plus or minus 0 to 3 days and beyond in relaxed matching. This helps handle booking delays, backdated entries, and different accounting timelines.
Does the system ever force incorrect matches?
No. CleverBalance is designed to avoid low-confidence matches, ensure amounts always balance, and prioritize accuracy over coverage. Anything uncertain remains in unmatched for review.
Output & review
What does the output look like?
You get two clear outputs: matched transactions for fully reconciled items and unmatched transactions for items needing attention. Both are easy to review and export.
Can I download the results?
Yes. You can download audit-ready Excel reports including matched transactions and unmatched transactions. These can be used for internal review, audit, and vendor follow-ups.
How do I identify missing invoices?
Any transaction present in the vendor statement but not matched in books appears in the unmatched section, making missing invoices easy to spot.
Can I identify extra or incorrect entries in books?
Yes. Entries present in books but not in the vendor statement are highlighted as unmatched, helping identify duplicates or incorrect postings.
Practical usage
Is this suitable for high-volume vendor reconciliation?
Yes. CleverBalance is designed to handle large datasets, high transaction volumes, and complex reconciliation scenarios.
Can accounting firms use this for multiple clients?
Yes. CleverBalance works well for CA and CPA firms managing multiple clients with different formats and reconciliation needs.
How long does reconciliation take?
Typically a few minutes, depending on file size. The system automates what usually takes hours in Excel.
Do I need training to use this?
No. The workflow is simple: upload, map columns, run, and review. Most users can start immediately without training.
Is my data secure?
Yes. Your data is securely processed and used only for reconciliation purposes.
